Consistent with OSHA’s COVID-19 Vaccination and Testing Emergency Temporary Standard
Under the Department of Labor’s Occupational Safety and Health Administration’s (OSHA’s) new 2021 Emergency Temporary Standard (ETS), all employers with 100 or more employees will need to ensure that their staff are either fully vaccinated against COVID-19 or that they produce negative test results weekly. Vault’s COVID Compliance Solution makes it easy for employers to track and report the data to keep their workers safe and business operating smoothly.
Our end-to-end solution tracks the vaccination status of each employee and automatically ships COVID-19 tests to those who remain unvaccinated, for weekly use. Once the sample is processed with our lab partners, test results flow automatically to the employer’s comprehensive dashboard for real-time monitoring while employees are informed of their individual results through Vault’s secure, HIPAA-compliant patient portal, as well as via email for those who opt in.
Vault offers easy-to-use, accurate, and affordable solo and pooled saliva-based PCR and anterior nasal antigen testing. PCR samples, once at the lab, are processed and results automatically transmitted within 24-48 hours. Pooled PCR can be more cost effective in situations with low viral prevalence, but results may require slightly more time for laboratory processing. Antigen results are available onsite within 15-30 minutes.
Our easy-to-use dashboard displays vaccination and testing data in one place for seamless reporting, including dose brand(s), dates, and other details for every employee who has been vaccinated, and weekly testing data––with positive and negative test results and compliance tracking––for employees who have not received their COVID-19 vaccine(s). Any changes to employee vaccination status will also be shown in real time.
Whether you maintain vaccination records or Vault does it on your behalf, Vault has testing that’s right for your workforce. Contact a Vault Sales Representative for more information.
Vault only stores, accesses, and processes patient information to provide health services. We use best practices for storing and handling personal information in line with federal regulations. Our information security program is guided by our Information Security Management System (ISMS), which includes all of our policies and procedures. The ISMS is reviewed and updated annually and is approved by management. Access to the patient and provider portal is through user ID and password for patients, and providers, with two-factor authentication (2FA) required for providers and Vault Staff. Access to patient data by clients is through a client-specific dashboard that also requires 2FA.
Network traffic into and out of the portal environment is strictly controlled through firewalls, and the rules running the firewalls are thoroughly reviewed during development through the organizations change control process. Our infrastructure is scanned daily for vulnerabilities and any vulnerability is assigned to appropriate teams for triage, remediation and implementation based on risk. Vault makes extensive use of AWS security services to monitor, log and maintain controls within the patient portal environment. Third party penetration tests are also performed annually.
All patient data is encrypted at rest and in transit using strong encryption including salted hashes for passwords, TLS1.2 for encryption in transit and AES256 for encryption at rest.
Vault takes the protection of patient information seriously. We leverage the extensive security features of the Amazon Web Service platform and supplement it with our own internal Information Security Management System (ISMS). We have dedicated staff in place to supervise the information security program and have embarked on a program of continuous improvement.
Our online patient and provider portal is hosted with Amazon Web Services (AWS). AWS has ISO27001 and FISMA certified data centers in Ohio and Virginia, where physical security is strictly controlled at the site perimeters and at building entry points. State of the art physical security systems are used to control access at all times. Vault’s internal systems are SOC 2 Type 2 compliant.
A CLIA certificate of waiver––required for antigen testing (not lab-based PCR)–––is included in the cost of all Vault antigen programs. Vault will obtain a CLIA waiver for each testing event, as needed. Staffing is priced separately from the cost of test kits.
Vault’s COVID Compliance Solution is appropriate for businesses of all sizes. With a nationwide network of experienced clinicians and customer care teams, we orchestrate every touchpoint of the testing process, from logistics to sample collection to result reporting––with no capacity issues. The OSHA ETS requires all companies in the U.S. with 100 or more employees to comply.
Employees are prompted to provide an image of their CDC vaccination card, immunization record or other evidence of their vaccination status. They are also asked to key in relevant information and attest that it is true and correct, affirming that their employer may take appropriate employment action if the data submitted is found to be inaccurate or misleading.
The OSHA ETS does not require employers to pay for the cost of testing unvaccinated employees. However, employer payment for testing may be required by other laws, regulations, or collective bargaining agreements or other collectively negotiated agreements. If you choose to deduct the cost of testing from an employee’s paycheck, Vault’s HIPAA-compliant dashboard is downloadable, allowing you to provide your payroll department with documentation to track those employees subject to payroll deductions. Vault does not accept individual payments from employees as part of this program.
Whether you’re hosting a conference or looking for weekly testing to comply with OSHA’s ETS, Vault can send staff to your worksite(s) to conduct testing events. Locations, duration, frequency of testing, and testing modalities are flexible and customized to fit companies with one or one thousand locations across the country.
